The scope of the personal data processed depends on the context in which an individual communicates with us. Typically, we process in particular:

- Contact details: e-mail address, telephone number, correspondence / billing address
- Data relating to business cooperation: communication history, enquiries, orders, data relating to contracts

- Purpose: responding to your enquiry, sending an offer, negotiating a contract, processing an order.
- Legal basis:
- performance of a contract or taking steps prior to entering into a contract (Article 6(1)(b) GDPR);
- our legitimate interest in communicating with persons who have contacted us (Article 6(1)(f) GDPR).
b) Sending commercial communications (newsletter, invitations, updates)
- Purpose: sending information about our products and services, news, trade fairs, events and other marketing communications (e.g. via Ecomail).
- Legal basis:
- your consent to receive commercial communications (Article 6(1)(a) GDPR); or
- our legitimate interest in direct marketing to our existing customers (Article 6(1)(f) GDPR in conjunction with Section 7(3) of Act No. 480/2004 Coll., on Certain Information Society Services).

c) Compliance with legal obligations
- Purpose: keeping accounts, tax records, storing contracts and documents as required by applicable legislation.
- Legal basis: compliance with a legal obligation (Article 6(1)(c) GDPR).
d) Protection of the rights and legitimate interests of the Controller
- Purpose: protection of the Controller’s rights and claims, dispute resolution, maintenance of internal statistics and records, basic analytics of the website and campaigns (e.g. tracking e-mail open and click-through rates, measuring interest in our products).
- Legal basis: legitimate interest of the Controller (Article 6(1)(f) GDPR).
4. Retention Periods
We retain personal data only for as long as is necessary for the given purpose:
- data for handling enquiries and business communication: for the duration of the business relationship and for a further 5 years from the last active communication, unless a longer period is required (e.g. due to contractual claims, warranty periods, etc.);
- accounting and tax documents: for the period required by law (typically 5–10 years);
- data for sending newsletters: for the duration of the consent or until you unsubscribe, but for no longer than 5 years from the last activity (opening, click); thereafter we review the data and either anonymise them in a verifiable manner or delete them;
- data from cookies and analytics tools: depending on the type of cookies and your consent settings (for more details see our Cookies Policy).
We regularly review stored personal data and anonymise or securely delete any data that are no longer needed.
5. Recipients of Personal Data (Processors)
Personal data may be made accessible to the following categories of recipients:
- providers of e-mailing and marketing services, in particular:
- Ecomail.cz, s.r.o. (tool for mass mailings and marketing automation),
- providers of web hosting and IT administration (administration of the website, servers and systems),
- providers of CRM systems and other tools for customer relationship management,
- external advisors (e.g. accountants, tax and legal advisors), where necessary,
- public authorities, where required by law.
We enter into data processing agreements with all processors in accordance with the GDPR.
